Desk Booking System
Workspace Manager's desk booking system is the complete office hoteling/ hotelling, and hot desk booking software solution. Workspace Manager can help your staff or the Facilities Management Team to plan and book your shared workspace resources.
Hot desking has become more popular in the modern workplace, with the number of mobile workers increasing considerably, and as a result, unoccupied desks have become commonplace. More organisations are realising the significant reductions they can make to both the operational costs and the reduction of their carbon footprint, by adopting flexible working.
Search for desks and colleagues by floor plan or time line
Users can search for a colleague and book an adjacent desk, or book their favourite desk via an interactive floor plan as well as a time line view. The system retains individual user preferences and recurring bookings can be created with just a few mouse clicks. Floorplans and resources can even be easliy imported into Workspace Manager from a CAD drawing.
Multi-device accessibility
The desk booking software enables employees to easily choose and book a desk or private office using any web browser via the Internet or intranet, a mobile device, touch screen kiosks, and also from within Microsoft Outlook®.
Configurable business rules
Business rules can be configured to enforce desk booking restrictions such as limiting how far in the future users are allowed to book a desk, or preventing them from booking desks specifically equipped for people with disabilities.
Maximise your shared workspace resources
To ensure your shared workspace is fully utilised, Workspace Manager can be configured to automatically release any desks, where the user has not checked in within a specified time period. Workspace Manager can automatically send the user a reminder by email or text message allowing them to retain the booking if they happen to be running late.
Often a desk is permanently allocated to an employee who may not be in the office all day, every day due to sales calls or at client sites. Workspace Manager can assign desks to be off-line when the employee is in the office and on-line when they are out of the office. This will free-up the desk to be used by another staff member if required, potentially reducing the total number of desks required by an organisation and leading to substantial savings on running costs.
